Job Description

Program Management
• Oversee and ensures compliance to program guidelines as defined
• Provide direct support and coaching/supervision to front-line employees through daily interactions, monthly supervisions, team meetings and as needed
• Oversee the departmental budget and approve expenditures accordingly
• Represent the organization through community engagement, networking and external committee work
• Facilitate change management activities with cross-functional team members and stakeholders to understand and ensure understanding of operational program projects
• Prepares monthly and quarterly reports for the Executive Director, the Board of Directors and funders.

Change Management
• Oversee the statistical information and quality of service delivery through leading and implementing change initiatives to ensure program goals are attained
• Drive adoption and proficiency of changes within the organization in compliance with LEAN methodologies.
• Develop short and long-term goals and objectives, develop and execute the annual operational plan.
• Lead/facilitate meetings with stakeholders to ensure an understanding of the current organizational culture, and jointly develop a change adoption plan.
• Oversee the Quality Improvement Plan through leading and implementing change initiatives related to programs, business processes and technologies.
• Develop project strategies and plans, including stakeholder assessment, communications, leadership alignment, organization transition, change readiness, capability transfer, and end-user training.
• Support the Accreditation process in accordance with project plans, tools, and methods, and support resource planning and acquisition.

Administrative Duties
• Monitors and utilize statistical information for program planning and development
• Oversight of quality improvement plan through project charters and outcomes
• Writes proposals and business plans to secure and maintain funding
• Prepares monthly and quarterly reports for the Executive Director, the Board of Directors and funders.
• Works with the management team to develop strategies, review policies and procedures, and review statistics and core measures for programs
• Coordinate delivery of workshops special events
• Contact person for external contractors re: Accreditation, Bilingual Designation

Human Resources
• Supervises and supports staff
• Conducts monthly supervisions and annual performance evaluations
• Recommends and approves professional development
• Prepares job postings, participates in recruitment and selection process and assist in hiring decisions
• Administers the employee benefit package, enrolls and orients new employees in the benefits program.
• Maintains vacation and sick time records.
• Assists with review of personnel policies and procedures when required.
• Provides supervisory support in the absence of Program Managers.

Job Benefits / Requirements

• Bachelor’s Degree in Business Administrative, Project Management and/or Leadership
• 3 – 5 years’ experience in project management and resource management
• Proven strategic planning experience at the management level
• Proven experience in leading an accreditation
LEAN Green Belt Graduate with experience
• Proficient in Microsoft Excel and PowerPoint
• Demonstrated creative and critical thinking skills
• Strong communication and presentation skills
