Privacy Policy
Our Privacy Policy and related procedures have been developed as a guide to the collection and handling of personal information from employees and clients. The Privacy Policy and related procedures are intended to ensure the confidentiality of any personal information collected about employees, clients and web site visitors.
This Privacy Policy and the related procedures are consistent with the Canadian Standards Association Model Code for the Protection of Personal Information (herein “CSA Model Code”) and applicable privacy legislation.
Consent
The workplace seeks consent for all personal information that is collected, used and disclosed through information provided to individuals prior to, or at the time of collection. By providing information voluntarily a person is deemed to have consented to the collection, use and disclosure of personally identifiable information as described in this privacy policy.
Personal Information Security
When information has been received by the workplace every effort will be made to ensure the security of the information. All personal information shall be stored in password protected electronic files or physical file drawers that are secure from unauthorized access. Counsellors will conduct all interviews in private offices.
As required by the CSA Model Code, the workplace will not use personal information for any purpose other than that for which it was consented. The workplace will inform all employees and clients of the use of any collected information and, in cases where information is to be disclosed, to whom and for what reason.
Should the workplace require personal information for a new purpose, the individual concerned will be contacted to seek consent for that new purpose.
The workplace respects the privacy of its employees, clients, and web site visitors and will endeavour to protect that privacy as vigorously as possible. Because electronic information transfer over the Internet cannot be guaranteed 100% secure, the Centre cannot ensure or warrant the security of any information transmitted electronically to the workplace until the transmission is received. The Centre has installed and will continually monitor and upgrade industry standard protection techniques such as firewalls, encryption and intrusion detection.
Information Accuracy
Accuracy of information is dependent on the source of that information. The Centre makes every effort to keep personal information as accurate, complete, current and relevant as necessary for the identified purpose the information was collected.
Access to Information
The Executive Director is designated the Personal Information Officer for our organization. The Personal Information Officer is in charge of the collection and security of all personal information in the control of the workplace.
Any questions regarding the collection and storage of personal information by the workplace must be directed to the Personal Information Officer. A written or face-to-face verbal request can be made to the Personal Information Officer by any employee or client to access and check or update their personal file. Access to an individual’s file will be made in the presence of the Personal Information Officer during normal business hours. Any updates or revisions may affect the use of personal information.
