Job Description
The Event Coordinator is responsible for the planning & execution of an annual conference focused on supporting local employers. The Event Coordinator is a crucial role in creating a seamless and impactful event that brings together key stakeholders, fosters collaboration, and provides valuable resources for the local business community, responsible for managing all internal and external communications in preparation for the annual conference. The Event Coordinator will work in collaboration with the Marketing & Communication Officer to ensure consistent marketing & messaging and support organization wide events.
Key Responsibilities
Event Planning
- Develop and execute a comprehensive event plan, including timelines, budgets, and logistics.
- Coordinate with internal teams and external vendors for seamless organization and execution of annual conferences.
- Lead a planning committee and collaborate with stakeholders to identify key topics, speakers, and sessions.
- Ensure a positive experience for attendees by overseeing setup, registration, and breakdown processes.
- Collect feedback and evaluate event success for continuous improvement.
Sponsorship and Partnerships
- Develop sponsorship packages in collaboration with the Marketing & Communication Officer.
- Identify and engage potential sponsors and partners to support the conference financially and enhance the overall experience.
- Manage relationships with sponsors to ensure expectations are met and deliverables fulfilled.
Marketing and Promotion
- Collaborate with the Marketing & Communication Officer to develop and execute a comprehensive marketing strategy.
- Utilize various channels, including social media, email campaigns, and traditional media, to reach the target audience.
- Monitor and analyze the effectiveness of events, marketing efforts and make adjustments as needed.
- Post-secondary degree/diploma in social services, business administration, public relations & communications, or related discipline
- Strong knowledge of communication practices and techniques.
- Outstanding written and verbal communication skills.
- Proven experience as an event coordinator or in a similar role.
- Volunteer Coordination experience an asset.
- Excellent organizational and leadership abilities.
- Proficiency in both official languages is an asset
- Must have a class G license, access to a reliable insured vehicle and have a good driving record
